Emergency Closure Procedures 2008-09

  1. The decision to close schools will be made by the Superintendent or his authorized representative.

  2. Closure or change in schedule information will be given (via the Educational Service District #112) to the following news and radio stations:

  3. Administrators will be notified via the calling system established below:
    • The Superintendent will confer with the Transportation Manager.
    • The Transportation Manager will notify bus drivers.
    • The Superintendent will notify the Deputy Superintendent, the Executive Director of Facilities, the Director of Community Relations, the Chief Financial Officer and the Executive Assistant.
    • The Director of Community Relations will notify radio and television stations (via ESD #112's emergency information system) and will arrange to post the message on the district's public website. In addition, she will notify the Manager of Community Education.
    • The Executive Assistant will update the district's emergency information hotline, 6004.3637 (604.EMER), and notify the Board of Directors, the ASC switchboard, and the Executive Director of Human Resources.
    • The Executive Director of Human Resources will notify the Manager of Payroll/Benefits and the Director of Personnel, who will notify the Substitute Office.
    • The Deputy Superintendent will notify the Assistant Superintendent, the administrative assistant to the Deputy Superintendent and all of the Instructional Support Services Directors and Managers.
    • The Chief Financial Officer will notify the Director of Food Services and the Business and Support Services Division administrators as he deems necessary.
    • The Assistant Superintendent and the Executive Directors of Elementary and Secondary Education will notify all School Principals, the Director of the Skills Center, the Coordinators of Legacy High School and Home Choice Academy, the Director of School Services, and other administrators/supervisors administrative assistants as they deem necessary.
    • The Executive Director of Facilities will notify the Manager of Risk Management and Safey, the Building Rentals Specialist, the Maintenance Manager and the American Building Maintenance Supervisor.
    • The Maintenance Manager will notify Maintenance personnel.

  4. The School Principals will notify their school staff via a telephone tree or by whatever other means they have developed.
    • The School Principals will notify students and parents in their respective attendance areas by recording closure information on their school's voice mailbox. (Assistance with procedures to change voice mailbox messages may be obtained by contacting the Communication and Information Resources Help Desk at extension 4545).

  5. In the event of school closure, the Special Education Program, operated cooperatively with other school districts, will also be closed with no transportation to state schools.

  6. In the event of school closure, all Community Education classes, all scheduled building rentals activities, and all after school athletics and extra curricular activities will be cancelled.

  7. In the event of school closure (whole day) due to inclement weather, 10-month employees shall make up the day(s) according to the established calendars. Twelve-month employees have the option to work, use emergency, vacation or personal leave OR to make up the time as approved by their supervisor.  Substitutes should not report to work.
